Project Admin Assistant - fluent French (m/f/d)

Your Job

John Zink is looking for a Project Admin Assistant - fluent French (m/f/d) to join our Project Execution team in Dudelange, Luxembourg. In this varied and collaborative role, you will contribute directly to the successful execution of international projects by coordinating key administrative activities, including production file preparation, document control, invoicing, and project closure.

This position offers the opportunity to work across several departments, develop a broad understanding of the project lifecycle, and make a visible contribution to the quality of service we provide to our customers. What You Will Do

• Manage the order entry process (sales Orders in ERP, budgets, instalments, bank guarantees, project amendments and change orders)
• Pro-actively raise invoices and follow up on projects closure to meet internal objectives and client expectations
• Be responsible for the project documentation control and ensure our customer needs are correctly and timely addressed
• Practice a philosophy of mutual benefit to become the client's preferred contact
• Support project execution process on administrative tasks and by preparing accurate and high-quality fabrication files for production
• Work closely with Sales, Production, Engineering and Finance departments to ensure smooth progress and maximize the support we give to our customers

Who You Are

• Previous relevant working experience in a similar position
• Fluent in English and French
• Organizational and prioritization skills to deal efficiently with multiple tasks, high attention to detail and commitment to first-time-right execution
• Ability to work effectively across multiple departments and stakeholders
• Customer-oriented mindset with professional communication skills
• Continuous improvement and problem-solving mindset
• Challenging mindset to improve efficiency in our way of working

What Will Put You Ahead

• Basic understanding of accounting and common commercial terms desirable
• Basic knowledge of manufacturing environment and experience with ERP system desirable
• Previous successful experience working with international team and customers
• Experience in document control
