Purpose od role
The Academic Support Person is a vital member of the FIP Section at BCIS International School, serving as the first point of contact for students, families, and the academic team. This role ensures smooth communication, efficient administrative processes, and a welcoming environment for all stakeholders. Additionally, the Academic Support Person serves as a positive advocate for the programme, promoting its values and benefits within the school community. This position directly supports the Proviseur and the wider academic team.
Key Responsibilities
1. Frontline Academic Support
• Serve as the initial point of contact for academic inquiries from students and families.
• Respond promptly and professionally to questions, directing more complex issues to the appropriate
staff member or making appointments for meetings with the academic team.
• Provide guidance and support to students and families regarding school policies, academic
procedures, and available resources.
• Serve as a positive advocate for the programme, promoting its strengths and opportunities to
students, families, and staff.
2. Attendance Management
• Monitor daily student attendance records.
• Contact families regarding unexplained absences or attendance concerns.
• Follow up with teachers who have not completed their attendance registers in a timely manner.
• Maintaining the emergency fire alarm attendance registers, liaising with the academic team during
alarm activation to account for all campus community members.
3. Communications
• Draft and send regular communications to families about academic events, important dates, and
updates.
• Maintain up-to-date contact lists for students and families.
• Assist in the preparation and distribution of academic team newsletters, event invitations, and other
academic correspondence.
• Send gentle reminders to academic staff and families regarding upcoming meetings, deadlines, and
important academic dates.
4. Student Records & Locker System
• Manage the student locker system, including allocation, liaising with operations, and record-keeping.
• Maintain accurate and confidential student records, ensuring compliance with school policies and
data protection regulations.
5. Academic Calendar Management
• Keep the academic calendars current, updating events, deadlines, and activities as needed.
• Share calendar updates with students, families, and staff to ensure awareness of key dates.

6. Admissions & Onboarding
• Liaise with the Admissions Team regarding incoming new students.
• Welcome new students and their families, providing orientation materials and support during their
transition.
• Liaise with the academic team to ensure new students are integrated smoothly into the academic and
social life of the school.
7. Scheduling & Reminders
• Schedule meetings between families and academic team members as requested.
• Coordinate meeting logistics to ensure smooth and timely communication.
8. Software Systems Management
• Use and maintain proficiency in school software systems including iSAMS, Pronote, School Interviews,
and all Office 365 applications.
• Keep up to date with any updates or changes to these systems to ensure efficient and accurate use.
9. Digital Platforms & Portals
• Maintain and update the Teachers Portal and relevant academic SharePoint sites to ensure
information is current and accessible.
• Collaborate with academic staff to upload resources, announcements, and relevant documents.
• Troubleshoot minor issues and liaise with IT support when necessary.
10. Parent-Teacher Evenings Management
• Manage the logistics of PTC's (Parent-Teacher) evenings, including scheduling, booking systems, and
communication with families and staff.
• Coordinate with Operations to ensure smooth operation on the event day.
• Collect feedback to improve future events.
11. Collaboration with Other Academic Support
• Liaise regularly with the Academic Support Person for the Cambridge programme to coordinate
support services and share relevant information.
12. General Administrative Support
• Assist the academic team with administrative tasks as required, such as organizing meetings,
preparing documents, and supporting school events.
• Proactively identify ways to streamline processes and reduce the administrative burden on the
academic team and teaching staff.
13. Other Duties
• Support the Proviseur and academic team with ad hoc projects and initiatives.
• Foster a positive, inclusive, and supportive school culture.

Working Hours & Conditions
• Full-time, school hours 7:30am to 4:30pm with occasional evening or weekend events as required.
• Based on-site at BCIS International School.

• Actively seek opportunities for CPD/ professional learning in order to keep up to date with current best practice
in UK and world-wide
• Maintain first aid credentials
• Undertake annual safeguarding training

General
• Take responsibility for Health and Safety matters for the areas you work in and report any matters that are a
hazard, thus ensuring that adequate safety precautions are taken with the students
• Follow the Safeguarding and Child Protection policy at all times
• Ensure that all behaviour issues are dealt with in accordance with the BCIS Behaviour Policy
• Be a role model for students and ensure adherence to the Staff Code of Conduct
• Carry out other related duties as required by the Academic Leadership Team (ALT) or School Leadership Team
(SLT) as appropriate.
• Be aware of responsibilities under child protection legislation, and report concerns to a senior supervisor or one
of the Safeguarding and Child Protection Officers (SGCPOs).
