The France/Belgium Bid Executive supports the productivity and efficiency of services deal pursuits (both proactive opportunities and RFx responses) to help drive higher win rates. The role works closely with Bid Managers and cross-functional pursuit teams on behalf of the Go-to-Market (GTM) teams in France and Belgium. The Bid Executive also supports local pursuit teams by providing project coordination, proposal management, and access to response content. Fluent business-level French language capability is essential for this role.
Key Responsibilities:
• Monitor tender portals across France and Belgium and distribute documentation to Bid and Sales teams.
• Register and manage online tendering portals and associated messaging.
• Coordinate clarification requests and responses among all stakeholders.
• Set up conference calls related to pursuit decisions and information sharing.
• Monitor and update CRM systems as required.
• Create response documents and liaise with Sales teams on aligned pursuits.
• Complete all Pre-Qualification Questionnaires (PQQ) and Standard Selection Questionnaires (SSQ).
• Ensure all bids are submitted on time.
• Create response documentation for all bids.
• Coordinate all attachments required for bid submissions.
• Update and maintain the Bid Pipeline Report and Bid Diary.
• Provide standard company information and documentation to Sales teams.
• Assist with the creation of formal proposal documents.
• Provide copies of contract documentation and historical information upon request.
• Provide general organizational support to Strategic Bid Managers, Global Bid Centre Managers, and other stakeholders involved in the tendering process.
Required Skills and Experience:
• Fluent French language skills (minimum C1 level - reading, writing, and speaking) - essential.
• Experience working in a similar role.
• Experience in a bid/tender environment.
• Experience working within a collaborative team environment.
• Knowledge of administrative techniques.
• Understanding of bid, tender, and framework environments.
• Ideally knowledge of Xerox sales cycles and offerings.
• Ability to work effectively under pressure.
• Strong relationship-building skills across all organizational levels.
• Ability to work collaboratively and lead within a matrix management environment.
• Ability to process and interpret complex information.
• Strong prioritization and workload management skills.
