Apt Resources is seeking a highly skilled
Personal Assistant to provide comprehensive support to the Chief Executive Officer of our client's dynamic organization. Responsibilities - Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as a liaison between the CEO and internal/external stakeholders to ensure smooth communication and follow-up.
- Prepare, edit, and coordinate presentation materials and reports for board meetings and conferences.
- Respond to inquiries from clients, partners, and team members in multiple languages.
- Conduct research and gather information to support decision-making and strategic initiatives.
- Implement and maintain efficient administrative systems and processes to ensure optimal workflow.
- Handle sensitive information with discretion and professionalism.
- Perform various administrative tasks such as managing correspondence, office supplies, and other operational functions.
Requirements - Proven experience as a personal assistant, executive assistant, or in a similar administrative role within a large company.
- Fluency in English and proficiency in either Portuguese or Spanish.
- Must be fluent in French.
- Willingness and flexibility to travel internationally with the CEO
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite and familiarity with project management tools.
- Excellent communication skills, both written and verbal, including the ability to tailor messages to different audiences.
- Ability to work independently and under pressure, while maintaining a positive attitude.
- A proactive approach to problem-solving and the ability to anticipate the CEO's needs.
- Good interpersonal skills and a strong team player.
- Bachelor's degree in business administration or a related field preferred.
- Experience in a multicultural environment is an advantage.
- Must be available to work flexible hours when required.
