Job Description

The Junior Committees Officer is responsible for organizing numerous committees (CCN, RCC, NCRC, geosectorial, EMEA CRMC, coficiné, ad hoc...) that support credit decision-making or framework validation related to risk management.

Main Responsibilities:

Committee Management:
  • Before the Committees: Prepare agendas and oversee the compilation of the documents listed on the agenda. This includes scheduling committee meetings via invitations, managing participant attendance, and updating the dedicated Credit Portal module for the committees. Collect and process requests while integrating all constraints, then send the final agenda validated by the team leader.
  • During the Committees: Ensure the smooth running of meetings by sending alerts in connection with the committee secretary or co-chair. Identify participants and monitor for necessary adjustments, such as adding participants, relaying messages, or updating certain tools (Nomad).
  • After the Committees: Record minutes and organize their signature, storage, and distribution. Follow up on the conditions issued during the committee meetings and verify the consistency of the minutes received before signature, improving them if necessary.

NCRC - Geosectorial and EMEA CRMC Specificities:
For the NCRC, prepare minute templates to send to risk representatives for completion and follow-up. Draft summaries of discussed and validated points for the risk department leaders (NCRC). For the EMEA CRMC, prepare complete minutes and monitor their validation, dissemination, and recording. For Geosectorial, prepare and follow up on the minute templates to be addressed to the presenter (Risk or Finance) after the committee.

Other Responsibilities:
  • File Tracking: Maintain a tracking table (Matrix) of files in committee to ensure traceability and transparency of decisions and their supporting documents (minutes).
  • Communication Management: Monitor emails to be processed and handle certain reports to ensure smooth communication within the team and with stakeholders.

Secondary Missions:
  • Level 1 Control: Conduct Level 1 controls related to the team's activities to ensure compliance and quality of processes (minutes, condition entry).
  • Training New Joiners: Participate in the training of new team members by sharing best practices and current procedures.
  • Follow-Up on Conditions: Monitor the conditions issued in committee and regularly produce status reports.
  • Follow-Up on Minutes: Ensure the follow-up on issued minutes and generate status reports to guarantee proper management of information.
  • Incident Tracking: Update the incident tracking file to ensure proactive management of encountered issues.
  • Governance: Participate in the team's Weekly Meeting to discuss ongoing topics and priorities.
  • Planning: Contribute to the development of the committee schedule and the planning of chairs/co-chairs to optimize meeting organization.
  • Other: Any other tasks assigned by the team leader related to the organization and follow-up of the bank's credit committees.

Role-Related Constraints:
  • Working Hours: Flexibility required, which may include meetings outside of regular office hours.
  • Variable Workload: High activity periods may lead to increased workload, particularly at year-end and before the summer vacation period.
  • Stress Management: Ability to work under pressure and manage unforeseen situations calmly and effectively.

The position of Junior Committees Officer is essential for the effective functioning of the Credit Risk Office activities within the Credit Risk Department.

Qualifications

Qualification Level: Master's degree required.

Organizational Skills: Ability to manage multiple tasks simultaneously, meet tight deadlines, and prioritize activities according to committee needs.

Excellent Communication Skills: Ability to communicate clearly, both orally and in writing, with various stakeholders in a professional and appropriate tone.

Proficiency in Office Tools: Good knowledge of word processing software, spreadsheets, and tools provided by the bank.

Analytical and Synthesis Skills: Ability to analyze information and synthesize key points for presentations and reports.

Discretion and Confidentiality: Adherence to confidentiality standards regarding sensitive information handled within the committees.

Service Orientation: Focus on member satisfaction of the committees, with a proactive approach to problem-solving and meeting needs.

Personal Qualities:
  • Excellent interpersonal skills and strong listening ability.
  • Diligent and organized, with the ability to make proposals.
  • Autonomous and motivated by teamwork.

Languages: Proficiency in English and at least B2 in French

Once you are done with your work for the day, strike the right note playing with Natixis band or be part of a board games session. If that is too steady for you, meet your colleagues to catch some waves or sail the Douro river during golden hour.
