As Payroll Specialist you will be accountable to execute the payroll function Alcon associates. Accountable for executing high quality and accurate service to associates and Alcon in adherence with the Payroll Service Center service levels (SLAs), key process, and operational metrics (KPIs).
In this role a typical day will include:
- Day-to-day ticket resolution as part of support provided globally through Workday and Service Now to Alcon associates and managers across countries and languages; ownership of requests: solving cases, updating systems, providing updates, following instructions in agreed standards and timeframes
- Act as first point of contact for questions from Alcon associates and managers and provide guidance on fundamental Payroll topics and issues
- Process payroll changes, following global and local processes and compliance guidelines and maintain confidentiality of employee data
- Advanced knowledge and understanding of multiple payroll systems.
- Collect, review and aggregate payroll data inputs from multiple upstream sources (automated and non-automated) for assigned country payrolls.
- Monitor supplier payroll processing and compliance activities and review outputs for completeness and accuracy.
- Provide support in international equity- and incentive-relevant statements and Warrants etc, to ensure correct taxation and build accruals accordingly
- Work closely with FRA on reconciliation and financial reporting
- Work closely with other functional areas to gather payroll inputs efficiently and effectively (e.g., Timekeeping, Benefits, Compensation, etc.)
- Perform Payroll Audits and Controls as per checklist
- Request funding of payroll, payroll taxes and other third party payments, as applicable; ensure Treasury receives and acts upon requests.
- Be actively committed to continuous improvement activities: identify process gaps, form improvement ideas and present to Manager
- Root Cause analysis: actively propose solutions and coordinate issue resolution, ensure escalation process is followed if applicable
- Pro-actively identify the needs and support the preparation and production of understandable documentation ( SOPs/ work instructions), people policies, procedures, handbooks, guidelines as required
- Juggle the tasks according to priority and being able to effectively handle competing priorities.
- Organize, monitor and enhance relationship with stakeholders and vendors (if applicable)
- Handle client requests within agreed upon Service Level Agreements as well with agreed level of politeness/ Customer Experience Mindset and detail of response
- Troubleshoot issues and respond to inquiries/requests in line with agreed service levels and case management processes.
- Engage in various activities to build an HR knowledge base for the team to use covering multiple HR processes and local legislation
- Build a relation and work effectively within a team and also with other teams, supporting and respecting each other, sharing knowledge, buddying
- Effectively engage and contribute to projects on team, regional and global level
- Support the process of training users on HR systems, policies and processes
- Share your in-depth knowledge with colleagues and internal clients in order to broaden awareness of HR processes
- Perform internal process controls, data uploads and reconciliations as part of the process

WHAT YOU'LL BRING TO ALCON:- Passion for payroll operations function and curiosity for details
- Fluency in French - English
- Experience with foreign payroll/s systems
- Minimum 2 year of experience in payroll processing, either in in-house or outsourced model
- Excellent customer service behavior (role model)
- Positive attitude and ability to work in fast-paced project environment
- Time Management expertise and experience, Kronos experience a plus
- Transition experience is a plus
- Effective use of technology, resource material, websites and payroll supplier tools to ensure accurate and timely processing of payroll
- Ability to provide easy-to-use and -understand information to Alcon's employees on payroll processes and payroll results, as indicated on the employee pay statement
