Purpose of the roleThis is a specialized dual responsibility role on the Mumbai HRD team, which is comprised of both HR Direct support responsibilities and HR Operations responsibilities for the France Market. Key focus areas include:
Delivering accurate, high quality, personalized customer service including HR Operations processes to employees, retirees (where applicable), managers and global Human Resources in the French market.
Responding to employee inquiries and transaction requests regarding our HCM system, Payroll, Benefits, Policies, G&Me support and general Human Resource matters that surface through the ServiceNow case management system.
The incumbent will be responsible for HR Administration and process improvements related to Employee entry and exit formalities, Local Legal/Statutory Compliances, Policy updates, Local & Global Audit support, and Digital Employee Filing.
French verbal, written and reading proficiency required as the incumbent will communicate with employees and stakeholders in French.
KEY ACCOUNTABILITIESManage France & Mumbai HR Direct inquires with main priority for France as the unique rep supporting this market.Responding to Inquiries• Provides guidance to employees, managers, and HR with the self-service features of G&Me and our HCM system.
• Follow the set process, steps outlined in the policy/ process while responding to employees.
• Determines when appropriate to escalate to functional specialist.
• Ensures that calls, cases, and chats are responded to in a professional and timely manner and enters all information into the Case Management System.
• Works closely with functional departments (e.g., Benefits, Payroll, HR) to ensure process efficiency and the accuracy of information being utilized.
• Understands local regulatory requirements for all areas supported.
Processing Transactions • Executes personnel administration, payroll, benefit, and Workday transactions with strong attention to detail and working knowledge of functional requirements (HR, payroll and benefit rules, procedures, and regulations).
Research and Customer Follow-Up• Performs background research and follow-up activities needed to resolve requests that cannot be resolved at the time of initial contact.
• Conducts necessary communications with GMI functional specialists and outside vendors, as appropriate, to resolve the issue(s) and communicate results/findings with the customer.
Process, Policy, and System Improvements• Identifies, reports, and troubleshoots any conditions relating to systems or service centre processes that may be adversely affecting customer satisfaction.
• Suggests and assists in the implementation of methods to update, simplify, and improve HR Direct processes, procedures and technologies to enhance service provided to customers or improve departmental effectiveness.
• Recommends enhancements to G&Me, knowledge base articles or other systems improvements that will ease employee self-service.
• Coordinates suggestions with stakeholders for inputs and alignment as needed to drive results.
Adhere to Service Level Agreements (SLAs)• Customer Service Score (Csat)
• Call Quality Assurance Score
• Response time of 24 hours (SLA Breach) w. 3-day turnaround time target (TAT)
• Minimum missed calls (Ring on and No Answer -RONA)

HR OperationsLetter/Form Generation• Create template letters/forms for Regions (Attestations, Bonafide's, Service Letters etc)
• Coordinate with stakeholders as needed with regards to completion of letters
• Save drafts in folders and maintain Letter tracker.
Entry• Support HR Administration of Employee entry and exit formalities.
• Employment Registration on local country DPAE site Personnel filing on People Doc

MINIMUM QUALIFICATIONS- Education - Full time graduation from an accredited university (Mandatory- Note: This is the minimum education criteria which cannot be altered)
- Required Professional Certifications: French Language Certification
PREFERRED QUALIFICATIONS- Minimum years of related experience required: 1-2 years in managing query and/or HR Ops Role
- Preferred years of related experience: 4-5 years
- Language Required : French proficiency verbal, written and reading required
