Primary purpose of roles: - GBS Fleet Back Office Senior Agent is responsible for the loading and administration of the fleet contracts, support of fleet service providers and fleet customers 
  - Full ownership of upload and maintenance of master data for FOS fleets (customers, vendors, contracts, pricing, vehicles, fleet lists and unmounted tires) 
  - Work closely together with the front Office Agents and the truck team to deliver services on the highest level. 
  - Process in priority billing, perform pre-invoicing checks and handle invoicing queries and claims. 
  - Perform and coordinate regression testing quarterly for cluster in scope 
  - Coordinates complex activities inside the cluster. 
 
Principal Duties and Responsibilities: - Contract setup: customer setup in SAP, contract loading and billing setup, creation of functional locations, vehicle upload, pricing upload. 
  - Fleet updates: periodically updating customer fleets in SAP. 
  - Billing: handling incomplete documents in SAP. Top priority is to get all services and tires billed before month end closure. 
  - Customer bonuses: calculation of periodic bonus payment to customers in collaboration with the FO teams 
  - Handling customer requests routed by FO to GBS: invoice queries, pricing queries, sales orders self-mounting customers. Includes some urgent queries. 
  - Mileage administration: Handling customer queries routed by FO to GBS, perform mileage billing, fleet updates 
  - Vendor setup in SAP; 
  - Self-billing settings for some vendors in SAP
  - SAP activation in Ejob 
  - Monitoring jobs: check P&R orders and correct in case of errors, check GR of self-billing jobs and process manually, 
  - Intercompany processes: create manual intercompany PO, Intercompany invoice booking problem solving 
  - Check Service Provider invoices 
  - Service Line related invoices: payment check for GDTO &countries 
  - Casings: pricing, insert grades in SAP, create PO for casings in SAP, prepare reports for casings collection & sales/vendor invoice 
  - Job recording on behalf of SP and customers 
  - Perform FOS testing quarterly, maintain FOS frontend and backend settings, handle FOS system errors. Coordinate testing inside the cluster. 
  - User administration: customer, vendor and internal setup in SAP, FOS 
  - Price maintenance: sales price upload, purchasing price upload in SAP 
  - Follow up with customers and service providers on unauthorized/unapproved jobs, request confirmations on fleet updates 
  - Proactive solutions billing and contract creation in SAP 
  - Point of contact for junior colleagues in cluster. 
  - Work shadowing and training newcomers. 
  - Proactively identify and raise process concerns, drive CI projects 
  - Act as expert on billing or pricing for the cluster in scope. 
 
Experience & skills: - 2-3 years working experience in a support function (help desk, customer service), experience with SAP is desired. Experience with Excel is desired.
  - Minimum 1-year experience in Fleet Back Office Agent role.
  - No major escalations received.
  - Excellent verbal and written communication skills in English and second language depending on cluster
  - Ability to follow procedures and sequential processes.
  - Critical thinking skills, analytical mindset, ability to drive process efficiencies
  - Team player and strong interpersonal skills
  - Proven ability to work on own initiative
  - Diligent - ensure deadlines are met and priorities are balanced accordingly
